About the Role
Kipling Realty Management Inc. is proud to oversee the property management of the retail portfolio at Toronto’s Union Station. With approximately 80% of the retail footprint occupied — and full lease-up anticipated by 2026 — this is a pivotal time in Union Station’s evolution as a landmark mixed-use hub.
Position Overview: As Senior Property Manager, you will take full ownership of the day-to-day operations and overall performance of the retail asset, ensuring that tenants, visitors, and stakeholders experience an environment that is efficiently managed, commercially successful, and brand aligned.
Key Responsibilities
Stakeholder & Tenant Relations
·Serve as the primary client liaison, building and maintaining strong, trust-based relationships with ownership representatives, tenants, stakeholders, and other key partners.
·Act as the lead point of contact for tenant issues, ensuring prompt and effective resolution in line with service excellence standards.
·Collaborate with the Operations Manager on tenant coordination, including regulatory compliance, and onboarding processes.
·Attend and contribute to tenant construction meetings, providing operational insights and ensuring alignment with property standards.
·Lead the preparation, administration, and delivery of annual operating budgets, ensuring alignment with asset strategies and contractual obligations.
·Partner with the accounting team to ensure timely and accurate quarterly reports, variance analysis, and ongoing performance updates.
·Oversee billing and collection of base rents (AR), percentage rents, and recoveries, ensuring adherence to lease agreements and tenant A/R status.
·Oversee Accounts Payable to ensure timely processing of invoicing, and adherence to accounting best practices.
·Deliver monthly sales reporting and insights.
Operational Excellence
·In collaboration with your Operations team, oversee day-to-day tenant operations, ensuring compliance with lease terms, service contracts and health & safety regulations.
·Coordinate, tender, and manage third-party service contracts to ensure quality and cost-effectiveness.
·Perform regular property inspections to maintain a premium standard of presentation, safety, and operational reliability.
·Oversee loading dock service contractor, ensuring efficiency and minimal disruption to site.
Project & Capital Works Management
·Support planning and execution of minor capital projects.
·Engage tenants to participate in site activations
·Support Marketing & Events programming as needed.
·Launch new gift card program.
·Foster a collaborative, high-performance culture grounded in accountability, innovation, and service excellence.
·Provide clear direction and performance feedback to team members.
Qualifications & Experience
·Education: Degree in Business Administration, Real Estate, or a related field.
·CSM or RPA an asset
·Experience: Minimum 7–10 years of progressive property management experience, with a strong focus on retail operations within major urban or mixed-use assets.
·Technical Skills: Proficiency in Microsoft Office (Excel, Word).
·Working knowledge of Yardi an asset.
·Financial Acumen: Demonstrated expertise in budgeting, financial reporting, and variance analysis.
·Lease Management: Knowledgeable on retail leases and landlord/tenant obligations.
·Leadership: Proven ability to manage onsite teams, external service providers, and complex stakeholder environments.
·Soft Skills: Exceptional communication, negotiation, and relationship-building skills; able to navigate and influence at all organizational levels.
·Mindset: Results-oriented, adaptable, and proactive, with the ability to prioritize and perform under minimal supervision.
·Strategic thinking with strong operational execution.
·Financial and analytical rigor.
·Client-centric approach with a sense of urgency and responsiveness.
·High resilience and emotional intelligence in a fast-paced, stakeholder-rich environment.
